Check the conditions before you book
Vanguard Travel Solutions arranges travel through suppliers. Each service may have different cancellation rules. Your quotation and supplier conditions must explain deposits, deadlines, non-refundable items, amendment costs and any separately agreed Vanguard fee before you commit. Do not assume a free 14-day cooling-off period applies to a dated travel booking.
How to request a change or cancellation
- The lead traveller should send a written message to +234 904 280 7771 on WhatsApp, stating the booking reference, traveller names, affected services and requested action.
- We will confirm receipt and explain the supplier process and known charges. If your request is urgent, clearly state the departure date and contact the supplier directly as well.
- Keep your messages and the cancellation acknowledgement. A request is not a confirmed cancellation until acknowledged by the party authorised to cancel the booking; this does not override when notice legally takes effect.
If you decide to cancel
Refunds depend on the conditions agreed for each service. Some flights, hotels, special arrangements and already-issued tickets may carry substantial charges, potentially the full service price. Refundable taxes or recoverable amounts will be accounted for where applicable. We will request an itemised explanation of deductions where available.
Any Vanguard fee must have been disclosed and agreed before work began. It must reflect the agreed service and applicable consumer law; we do not impose a blanket rule that all money is non-refundable. Changes of name, date or route depend on supplier permission and may require a new booking.
If a supplier changes or cancels a service
We will help you obtain the alternatives, refund or other remedy available under your supplier contract and applicable law. For separately supplied services, the airline, hotel or operator is responsible for its own service; that does not remove our obligations as your agent. Vouchers are optional where you have a right to a cash refund.
Package travel rights, where applicable
If your booking is covered by the UK Package Travel and Linked Travel Arrangements Regulations, an organiser cancellation or a qualifying termination may entitle you to a full refund within 14 days. This can include unavoidable and extraordinary circumstances at the destination or its immediate vicinity that significantly affect the package or transport there. A change of mind or personal inability to travel does not automatically qualify.
Any mandatory deadline takes priority over supplier processing arrangements. An organiser cannot extend a statutory refund deadline simply because it is waiting for a supplier. The responsible organiser and any applicable financial protection must be identified in the booking documents; this website does not claim ATOL or ABTA membership.
How refunds are returned
We will explain who processes the refund, the amount, deductions and expected timing. Where we process a refund, it will normally return to the original payer and payment method, subject to identity checks and applicable law. Bank processing times may affect when it appears. Exchange-rate movements and third-party charges will be explained where relevant and must not reduce a mandatory entitlement unlawfully.
Visas, missed travel and insurance
A visa refusal does not itself guarantee a refund for travel services. Government application fees follow the authority's rules; assistance fees follow the service agreed. Missed departures, unused services and early returns follow the supplier conditions and your statutory rights. Consider suitable cancellation and medical insurance when arranging your trip, and notify your insurer promptly if you may claim.
