Who handles your information

Vanguard Travel Solutions handles the enquiries and travel arrangements you ask us to help with. The contracting legal entity and verified contact details must be given before a booking is accepted.

Information you choose to share

The trip enquiry asks for names, email, telephone, country, destinations, dates, party size, budget, visa-support needs, referral source, optional newsletter preference and any comments. This static website prepares a WhatsApp message in your browser. You decide whether to send it in WhatsApp; opening WhatsApp alone does not deliver it to us. There is no website account or online checkout.

If you later book, suppliers may need further traveller and payment details. Do not send passport scans, payment-card details, medical information or other sensitive documents through the general enquiry form. We will explain the purpose and suitable transfer method before requesting such information.

Why we use it

We use relevant details to answer your request, prepare a quotation, arrange agreed services, support your booking and resolve complaints. Where applicable, this is to take steps you request before a contract, perform a contract, meet a legal obligation, or pursue legitimate interests in operating and protecting the service. Marketing is optional and separate from your travel enquiry; you can withdraw a marketing preference at any time.

Who may receive it

After you send an enquiry, WhatsApp processes it under its own terms and privacy policy. We share necessary booking information with relevant suppliers when arranging the services you request, and with advisers or authorities where legally required. Overseas suppliers and service providers may process information outside your country; we will consider the safeguards required by applicable law before arranging transfers.

Website services and storage

The site loads fonts from Google and travel media from external image providers. Your browser contacts these providers, which may receive your IP address and request information. Cloudflare hosts this website and processes hosting and security logs. These services have their own privacy policies. We keep enquiry and booking information only as long as needed for the purpose, customer support and any applicable legal or record-keeping obligations, then delete or anonymise it. We restrict access to people who need it. Ask us for the retention period applicable to your record.

Your choices and rights

Depending on the law that applies, you may have rights to access, correct or erase information, restrict or object to processing, request portability and withdraw consent. Message us with your request; we may need proportionate identity verification. Withdrawal does not affect lawful earlier processing. You may also complain to your local data-protection authority, including the UK Information Commissioner's Office where relevant.
